Call for Papers and Workshop Proposals

Fourth Annual Knowledge, Archives and Records Management Conference

Venue: Port Elizabeth, Eastern Cape
Date: May 2010

Theme: A Decade of 21st Century Knowledge, Archives and Records Management

Poussiere d'etoiles (Pd'e) will be hosting the Fourth Annual Knowledge, Archives and Records Management Conference (KARM 2010) in Port Elizabeth, Eastern Cape during May 2010.

Proposals are invited for papers and workshops from professionals and workers in the knowledge, archives and records management field. Papers and workshops must address topics related to the field. Papers related to the theme will receive preference. Workshops need not be related to the theme.

Paper proposals will be selected for their originality, timeliness as well as topics requested by delegates in previous conferences. A balance will be sought between knowledge management, records management and archival management. Workshop proposals will be selected based on training needs in the industry as well as those expressed by delegates in previous conferences. Workshops addressing entry-level training needs, as well as those addressing advanced training needs will be considered.

Proposals must be emailed to esther@pdesa.co.za in MSWord format. At least one of the paper's authors must undertake to present the paper during the conference.

Proposals must include the following information:

Papers

Title of paper

Name of presenter/s

Abstract (maximum ½ page or 150 words)

Brief statement of experience and expertise related to the theme of the conference and the topic of the paper (maximum ½ page or 150 words)

Contact information of each presenter (email, fax, tel., cell, postal address)

Workshops

Title of workshop

Name of presenter/s

Aim of workshop

Target audience

Learning assumed to be in place (prior skills/ training/ education of target audience)

Detailed outline of contents of workshop (headings and sub-headings)

Outline of practical exercises that delegates must complete

Time slots for coverage of content (maximum six contact hours, excluding teas and lunch presented in one day)

Training outcomes

Brief statement of experience and expertise related to the workshop (maximum ½ page or 150 words per trainer)

List of previous conferences/ occasions during which workshop was presented

Contact information of each trainer (email, fax, tel., cell, postal address)

Deadlines

18 September 2009: Deadline for submission of proposals

18 October 2009: Notification of acceptance of proposals

31 January 2010: Submission of PowerPoint presentations by speakers (slides to be used during presentation) and trainers (outlining workshop contents) to the organisers via email.

SPEAKER POLICY

Presentations
Keynote speakers are expected to deliver a 45-minute address to open the conference. Keynote speakers must respond to questions related to their paper for at least 15 minutes after their presentations. Keynote speakers must be available for the entire session during which their papers will be presented. Sessions usually last for two hours.

All other speakers are expected to deliver a 30-minute address and answer questions for 15 minutes after their presentations. Speakers must be available for the entire session during which their papers will be presented. Sessions usually last for two hours.

Proposals
Proposals must be approved by the organisers.

PowerPoint Presentations
Presentations must be emailed by the due date. No late submissions will be accepted. Any speaker who fails to adhere to deadlines will automatically be removed from the programme. Along with presentations, speakers must provide information on equipment that will be required for their presentation. The organisers will inform speakers if equipment requested will be available or not.
Honorariums (Please note that we have adapted our honorariums to keep registration fees lower)

Keynote speakers receive an honorarium of R500 per one-hour session (45 minutes of presentation and 15 minutes of questions). All other speakers receive an honorarium of R250 per 45 minute session (30 minutes of presentation and 15 minutes of questions). For papers with multiple authors, the organisers will only award an honorarium to one presenter. Honorariums will be paid within sixty days after the delivery of the paper (please note that no payments will be made at the conference).

TRAINER POLICY

Workshops
Trainers are expected to offer a workshop of maximum six contact hours, excluding tea and lunch breaks, presented in one day.

Proposals
Proposals must be approved by the organisers.

PowerPoint Presentations
Presentations must be emailed by the due date. No late submissions will be accepted. Any trainer who fails to adhere to deadlines will automatically be removed from the programme. Along with presentations, trainers must provide information on equipment that will be required for their presentation. The organisers will inform trainers if equipment requested will be available or not.

Training Material
Trainers must provide a training manual to delegates. Trainers are responsible for preparing and duplicating all training material. Trainers must prepare sufficient manuals for the maximum amount of delegates they have agreed to accommodate. The lay-out of the front cover of the manual which must contain the conference name will be supplied by the organisers.

Honorariums Trainers receive an honorarium of R500 per delegate who registers for their workshop (includes VAT). For workshops with multiple trainers, the organisers will only award an honorarium to one presenter. Honorariums will be paid within sixty days after the delivery of the workshop (please note that no payments will be made at the conference). A minimum of 10 delegates must register for the workshop to be offered. Trainers must agree to allow one bursary recipient to attend their workshop for free. Trainers must be willing to accommodate a minimum of 20 delegates. Trainers will be allowed to accept a maximum of 30 delegates in their workshops.

OTHER POLICIES:

Travel, Accommodation and meals
Speakers and trainers based within a 200 km radius of the conference venue will not be reimbursed for subsistence and travel. The Organisers will make travel, accommodation and meal arrangements for all other speakers and trainers. The organisers will decide which speakers and trainers qualify for travel, accommodation and meal cover. Where papers have multiple authors, the organisers will only cover costs of one presenter/ trainer. Qualifying speakers/ trainers will be expected to arrive the day before their presentation and depart on the day of their presentation (i.e. one night of accommodation).

CONFERENCE ATTENDANCE
The organisers will cover the main speaker's/ trainer's costs for one day of conference attendance, i.e. the day on which speakers/ trainers present their papers/ workshops. Any speaker/ trainer who intend to attend the entire conference must pay their own registration on these days. Speakers/ trainers who fail to register for extra days will have the conference registration fee deducted from their honorariums.

REGISTRATION
Speakers/ trainers are expected to complete the speaker/ trainer registration form which will be provided by the organisers.

FLIGHT CHANGES
Flight bookings will be made according to the information provided by the speaker/ trainer on the registration form. Flight confirmations will be sent to speakers. Any costs related to flight changes after flight confirmation, such as departure and arrival dates and times will be for speakers'/ trainers' own accounts and will be deducted from the honorarium.
